Executive Assistant, Office of the CEO
About the Role
You will serve as a trusted extension of the CEO, anticipating needs, managing a dynamic calendar, and ensuring meetings and travel run smoothly. You will draft executive-level correspondence, manage inbox flow, build systems to streamline workflows, handle confidential information with discretion, and provide flexible in-office support during high-priority moments.
Requirements
- 5–10+ years of experience supporting a senior executive or CEO in a high-intensity environment
- Exceptional organizational skills and attention to detail
- Proactive, ownership-driven mindset with ability to solve problems independently
- Ability to think strategically while executing day-to-day operations
- Clear, polished written and verbal communication skills
- Comfort managing select personal matters with absolute discretion and trust
- High emotional intelligence and professionalism handling sensitive information
- Resilience under pressure and ability to handle long hours
- Strong technical and administrative capability across calendar systems, email, travel logistics, and productivity tools
- Ability to create structure and continuously improve systems and processes
- Willingness to work fully in-person and provide flexible support as required
Responsibilities
- Act as a trusted partner to the CEO and manage priorities to protect their time
- Anticipate needs, identify issues early, and solve problems independently
- Track key commitments, deadlines, and action items and drive them to completion
- Manage a complex, multi–time-zone calendar
- Plan and execute domestic and international travel with detailed itineraries
- Manage inbox flow and draft polished executive-level correspondence
- Prepare meeting materials, confirm logistics, set technology, and capture outcomes
- Oversee administrative operations of the Office of the CEO and maintain organized systems
- Serve as a primary point of contact for internal and external stakeholders including board members and investors
- Partner with Chief of Staff and leadership to ensure efficient information flow
- Maintain absolute discretion when handling confidential and sensitive information
- Build and maintain systems to streamline workflow, communication, and follow-through
- Continuously improve scheduling, meeting prep, follow-ups, and executive operations processes
- Conduct research, compile information, and help move initiatives forward
- Provide flexible support including early mornings, evenings, occasional weekends, and support during travel
