Marketing Assistant
About the Role
You will support the CMO with calendar management, email triage, meeting scheduling and preparation, expense submission, and travel coordination. You will prepare and format presentations and internal decks, assemble reports and retrospectives, and maintain Notion and marketing databases. You will track action items, send reminders, and keep projects moving by holding owners accountable. You will manage contract workflows and DocuSign distributions, oversee invoice tracking and payment follow-through, coordinate conference attendance and deliverables, and organize two annual marketing offsites. You will proactively anticipate needs, provide operational support across marketing initiatives, and assist other teams with ad hoc project coordination tasks.
Requirements
- 2–4+ years experience in marketing support, executive assistance, or project coordination
- Exceptional organizational skills and ability to manage multiple workstreams
- Strong written and verbal communication skills
- Experience holding teams accountable with diplomacy and clarity
- Proficiency with Google Workspace, Notion, and Slack
- Comfort working autonomously in a fast-paced, distributed environment
- Strong attention to detail and ability to create structure in ambiguity
- Proactive mindset and ability to anticipate needs
- Flexibility to support senior leaders during off-peak hours due to travel
Responsibilities
- Support the CMO with calendar management and email triage
- Schedule and prepare meetings and meeting materials
- Coordinate travel bookings and expense submissions
- Prepare and format presentations and internal decks
- Prepare reports, business summaries, and retrospectives
- Maintain project momentum by tracking progress and sending reminders
- Oversee weekly meetings and build operational checklists
- Set up and maintain Notion databases and documentation
- Track and follow up on action items across projects
- Assist with contract preparation, templating, and signature flows
- Manage community moderator contract workflows and invoices
- Track invoices and ensure timely payments and finance handoffs
- Maintain data for marketing software, tools, and subscriptions
- Coordinate conference attendance tracking and deliverables
- Organize two marketing team offsites per year
- Provide ad hoc operational and project management support to marketing stakeholders
