Operations Coordinator
About the Role
You will support the podcast team and broader organization by owning scheduling and calendar management, coordinating production timelines, and managing professional communications with guests, partners, and sponsors. You will coordinate cross-department deliverables, manage project logistics including in-person recordings and equipment shipments, maintain vendor and platform accounts, pull performance data and maintain dashboards, oversee office management tasks for the NYC office, and keep operational documents, trackers, and systems organized while identifying workflow improvements.
Requirements
- Experience in an operations or coordination role with quick turnarounds and clear communication
- Proven experience managing busy calendars and coordinating across multiple teams
- Experience communicating professionally with external partners or clients
- Experience supporting projects from kickoff through completion and keeping systems organized
- Comfortable learning and using new tools and keeping information flowing between stakeholders
- Experience with sponsor or client deliverables preferred
- Experience in media, crypto, finance, or tech is a plus
Responsibilities
- Own internal and external scheduling and calendar management
- Manage the production calendar and track deadlines
- Send timely polished communications to guests, partners, sponsors, and stakeholders
- Coordinate cross-department information and deliverables
- Coordinate project logistics and in-person recordings
- Support sponsor and client deliverables and communications
- Pull performance data and maintain dashboards and trackers
- Oversee office management and maintenance needs
- Maintain vendor and platform accounts and documentation
- Organize operational documents, trackers, and internal systems and propose improvements
